Job Description

  • Manage and coordinate roadshow bookings including flights, hotels, meeting venues, transfers, and visa arrangements
  • Handle client travel bookings and ensure all travel requirements are accurately arranged and confirmed
  • Conduct client travel and quality assurance calls to confirm itineraries, address concerns, and ensure service satisfaction
  • Oversee and update CRM roadshow costs, ensure accuracy, and release finalized roadshow booking summaries
  • Prepare and review daily, weekly, and monthly travel and cost reports, PRs, and vendor invoices
  • Ensure compliance with Travel & Quality Assurance standards, service level agreements, and internal policies
  • Support and coordinate with the Travel team on operational and QA-related tasks
  • Liaise closely with internal departments such as Finance, Sales, DTS, Marketing, and external travel vendors
  • Organize and manage staff travel arrangements and international roadshows end-to-end
  • Monitor quality of service from airlines, hotels, visa providers, and travel partners, escalating issues where required
  • Maintain accurate electronic and digital filing of all travel-related documentation
  • Perform other related duties as assigned by management

Desired Skill & Expertise

  • Bi-lingual French & Arabic preferred
  • Strong ability to maintain a high level of confidentiality and discretion at all times
  • Strong communication skills with a focus on delivering high-quality client service
  • Professional, proactive, and friendly manner
  • Ability to work independently as well as collaboratively within a team
  • Excellent planning, organizational, and time-management skills to meet deadlines
  • Ability to prepare, review, and process a wide range of documents with strong attention to detail
  • Proficient in Microsoft Office (Excel, PowerPoint, Word, etc.)
  • Previous experience in travel coordination, hospitality, or visa processing preferred
